CLIENT CARE COORDINATOR

Client Care Coordinators are active in communication with clients and the assigned tax team working diligently and efficiently to ensure that all requested services are provided accurately and in a timely fashion.

Responsibilities

-Be the first point of contact in handling in-person, e-mail, or phone inquiries

-Intake, record, and log client information into appropriate systems and document requested service

-Manage and prioritize high-volume incoming queues of requests from clients and route them to appropriate staff

-Provide timely written and oral updates from the initial engagement through to completion. Follow-up with clients as necessary

-Develop knowledge regarding accounting, business advisory, and taxes subjects pertinent to the service provided to the client

-Maintain and track client work status and assign work in CC&A IPM System as appropriate to ensure consistency and accuracy

-Identify potential issues or engagement misses and follow-up with client

-Follow-up with client, documentation, and supporting information required to complete work or properly invoice the client

-Ensure all clients are invoiced through Ignition or QuickBooks Online (QBO) and process record collection of payment

-Ensure that all services are billed in a timely manner

-Follow-up with clients for all unpaid balances and escalate as necessary.

-Assemble, scan, document, and mail the completion of tax packages to the appropriate government agency and client in the finalization of taxes.

-Follow-up weekly on outstanding accounts receivable invoices. Monthly mailout Accounts Receivable statements to clients.

-Answering phones, scheduling and confirming appointments, directing prospective clients, and providing Executive Assistant services to Partners of the firm

-Ensure all office supplies are sourced, ordered, and authorized for purchase

-Aid the receptionist in their absences

Knowledge, skills, and skills

-One year of experience in business or administrative field from front desk, office manager, call center, or office coordinator experience.

-One year of experience demonstrated customer service management, call center or collections management a plus.

-Comfortable with making and taking phone calls.

-Experience in a fast-paced environment.

-Conflict resolution.

-Strong attention to detail.

-Demonstrated proficiency in Microsoft Office, Net Suite, QBO, Salesforce, or compatible software.

-Exhibits an eagerness to learn new tasks and take on additional responsibilities

Education

-Required: High school diploma/GED
-Preference: associate degree

Salary, Hours & Location

-$21.00 to $25.00 - Overtime will be required during tax season
- 4 days a week, 10 hours a day. Starting time will be discussed part of the interview process
-In-person, Tustin, CA
